Key Factors to Consider Before Choosing Accommodation for a Memorable Trip

If you find a hotel room online with a picture-perfect view, and the price seems too good.  You instantly click “book”. But when you arrive, you realise that the hotel is 3 hours away from the city centre, the amenities are not up to the mark, and hidden fees have just increased your bill.

Choosing the wrong accommodations can quickly turn a dream vacation into a nightmare. To ensure your next trip is seamless and relaxing, look beyond the photos and price.

Here are important factors every tourist must read before booking a place to stay

1. Budget & Cost

Budget is one of the most important factors when choosing accommodation. Start by deciding how much you can comfortably spend per night, including all costs.

Always check the final price carefully. Many properties add hidden fees such as taxes, resort fees, or cleaning charges (especially common on platforms like Airbnb). The same hotel can also show different rates across booking sites, so compare prices on multiple platforms before you reserve.

Prices vary based on star rating, room amenities, inclusions (such as breakfast), number of beds, air conditioning, and other features. Look out for apps that gives the cheapest hotel booking in India, deals, discounts, and promotions that can significantly lower the cost. Early booking or last-minute deals sometimes offer better rates as well.

The goal is to find a place that balances comfort and affordability within your set budget.

2. Location

Location

During my trip to Jammu and Kashmir, I stayed on a houseboat on the Jhelum River in Srinagar. Jammu and Kashmir has top tourist places and attractions. Local sightseeing from the houseboat—to the gardens and shopping markets—was easy and didn’t take much time.

However, day trips to Pahalgam, Gulmarg, or Sonamarg proved difficult and hectic. The distance from Srinagar to Pahalgam is nearly 100 km. In May, which is peak season, the roads were extremely crowded. The journey itself took 4–5 hours one way and the same time for the return, so after spending 8–10 hours on the road, I had only 3–4 hours left to explore the places.

I spent thousands of rupees on the trip yet remained unsatisfied. By the time we returned to the houseboat, all of us were exhausted. Looking back, the main mistake was not choosing accommodation closer to the attractions. Staying in hotels in Pahalgam, Sonamarg, or Gulmarg would have been far better.

Tip: Always choose a hotel close to the places you want to visit.

3. Types of Accommodations

There are many different types of accommodations available, including hotels, resorts, apartments, entire homes, hostels, homestays, bed & breakfasts (B&Bs), luxury tents, and more. Each type offers a different level of privacy, amenities, services, and price range.

Before booking, decide what kind of traveller you are and what your trip requires:

  • Families usually prefer hotels or apartments with family rooms, kid-friendly facilities, and extra space.
  • Leisure travellers often look for resorts or hotels that offer swimming pools, daily housekeeping, and other comforts.
  • Backpackers and budget travellers may choose hostels or simple B&Bs for lower prices and the chance to meet other travellers.
  • Those seeking privacy or a home-like feel often select entire homes, apartments, or homestays.

Choose the type of accommodation that best matches your budget, the purpose of your trip, and the level of comfort and privacy you want. The right choice will make your stay more enjoyable and satisfying.

4. Room Types and Beds

See screenshot below for room types, bed types, and prices

Hotels and other accommodations offer a wide range of room types, such as standard rooms, deluxe rooms, classic triple rooms, garden-view rooms, twin rooms, and mixed dormitory rooms (common in hostels). Each room type is designed for different needs — whether you want to save money, enjoy extra comfort, or simply relax. Before booking determine the which room is better for you, superior or deluxe.

Rooms also differ in amenities and layout. Some have an attached private bathroom, while others (especially in hostels) have shared bathrooms. The quality of beds and linen can vary significantly too. Common bed options include:

  • Two single beds
  • One large double bed
  • One extra-large double bed
  • Rooms with an extra bed or sofa bed

Prices usually change according to the room type, the amenities provided, the view, and the number/size of beds.

Before booking, decide what kind of room you need based on your group:

  • Couples generally prefer a room with one double or queen/king bed.
  • Families or groups often choose larger rooms, triple rooms, or rooms that allow an extra bed.
  • Budget travellers may opt for twin rooms or dormitory beds to keep costs lower.

Choosing the right room type and bed setup helps ensure comfort, privacy, and good value for your stay.

5. Amenities

See screenshot below for popular amenities

Popular amenities that many travellers look for include an outdoor swimming pool, room service, on-site restaurants, non-smoking rooms, free Wi-Fi, free parking, a tea/coffee maker, a bar, and breakfast. Properties may also offer additional amenities beyond this list that must have in hotels.

The availability and quality of amenities vary widely from one accommodation to another. Some places provide only the basics, while others offer a wide range of facilities.

It helps to divide amenities into three categories:

  • Essential – Free Wi-Fi, non-smoking rooms, AC, and basic toiletries.
  • Comfort & Convenience – Free parking, breakfast, tea/coffee maker, EV Charging, and room service.
  • Luxury or Relaxation – Swimming pool, gym, bar, spa, or fine-dining restaurants.

Before booking, decide which amenities matter most for your trip. If you only need the essentials, you can often save money. However, if you are travelling for leisure and value a swimming pool, bar, or other luxury facilities, it may be worth paying more for a property that offers them.

Clarify your priorities in advance so you can choose accommodation that truly matches your needs and budget.

6. Safety and Security

See screenshot below for safety & security

Safety is one of the most important factors when choosing accommodation. Without a sense of security, it is difficult to relax and enjoy your stay. While you may be willing to compromise on budget or certain amenities, safety should never be compromised and should be a top priority. In budget segment OYO, Treebo, and Fab Hotels are couple friendly or you can see best budget hotels top-rated by women travellers in India. .

Before booking, check the property’s safety features. Look for:

  • CCTV cameras
  • Security guards
  • Key card or secure access systems
  • Security alarms
  • Fire extinguishers and clear emergency exits
  • 24-hour front desk (especially useful in case of emergencies)

In addition to the building’s security measures, pay attention to the surrounding neighbourhood. A safe and well-maintained area contributes significantly to your overall peace of mind.

The best way to assess real safety and security is to read recent guest reviews that specifically mention these aspects. Look for consistent feedback about how secure guests felt during their stay.

Choosing a safe accommodation allows you to relax fully and focus on enjoying your trip.

7. Reviews and Ratings

See screenshot below for reviews & ratings

Reviews are written by previous guests who have actually stayed at the property. They provide real experiences about important aspects such as location, cleanliness, food quality, value for money, facilities, and staff behaviour.

Positive reviews can give you confidence to book a property for a hassle-free stay, while negative reviews can alert you to potential problems and help you avoid disappointing experiences. For this reason, it is important to read both good and bad reviews before making a decision.

For example, a property may receive praise for clean rooms, reasonable pricing, good location, and food quality, while a few guests mention issues such as external noise or maintenance problems. Looking at both sides of the feedback helps you decide whether the overall experience is likely to meet your expectations.

Always check recent reviews and overall ratings. Consistent patterns in guest comments are usually more reliable than a single opinion.

8. Check-In & Check-Out Timing

In India, the standard check-in time is usually between 2:00 PM and 4:00 PM, while check-out is typically between 10:00 AM and 12:00 noon. Arriving much earlier or having a late flight can create inconvenience and force you to wait or pay extra.

To avoid this, look for hotels that offer early check-in or late check-out, either free for 2–3 hours or at a reasonable charge. For example, Hotel Ocean Suites in Pune allows guaranteed early check-in from as early as 6:00 AM and late check-out until 5:00 PM (with extra charges). Another option, The Boom Hotel – Magarpatta in Pune, permits late check-out until 1:00 PM.

It is worth searching for properties that provide flexible timings. You can also read my earlier guides:

Choosing a hotel with flexible check-in and check-out options can save both time and money.

9. Free Cancellation Policy

Most major hotel booking platforms offer free cancellation options. If you book under a free-cancellation rate and need to cancel due to a price drop or unavoidable circumstances, you will not be charged — provided you cancel within the allowed time frame. After the free-cancellation window closes, cancellation fees usually apply.

The free-cancellation period varies by hotel and typically ranges from 24 to 48 hours before check-in.

Refundable bookings are generally more expensive because of the flexibility they offer, while non-refundable rates are cheaper per night. For more details on which websites offer good refundable options in popular Indian cities, you can read my related blog post.

10. Children / Extra Bed Policy

Not all hotels allow children to stay free of charge. Child policies vary significantly from one property to another. The age limit for free stays can range from 12 years at some hotels to 18 years at others. The number of children allowed, and the cost of extra beds also differ.

If you are travelling with family and kids, look specifically for hotels that offer “Free stay for kids.” For example, Magnus Fortune House in Magarpatta, Pune, allows 2 adults and one child on the existing bed.

If a hotel does not permit children under its free policy, you may need to book an additional room or pay for an extra bed. Choosing hotels with free child stays can save a significant amount of money.

You may also find my post on affordable hotel chains where kids stay free (including Motel 6) helpful.

11. Accessibility

Your hotel should be easily accessible by public transport such as bus, metro, or train, as well as by private taxis and auto-rickshaws. Ideally, these transport options should be within walking distance.

Avoid hotels located in very narrow lanes where taxis or rickshaws cannot enter easily. Good accessibility saves time, reduces transportation costs, and makes your overall stay more convenient.

12. Payment Options

Hotel booking platforms and properties accept a variety of payment methods, including American Express, Visa, Mastercard, JCB, Maestro, and Discover. Many hotels in India also accept UPI payments through apps such as Google Pay, BHIM, and similar services. Your payment should be safe to avoid the booking scam.

Before booking, always check which payment methods the hotel or platform accepts and confirm that you have those options available. Prefer secure payment methods to avoid booking scams.

Some hotels may not accept cash payments (as shown in the example screenshot). For more guidance, you can read my blog: How UPI makes hotel payments safer in India – security features and fraud prevention tips.

Conclusion

Choosing the right accommodation is one of the most important decisions you will make for any trip. A well-selected place to stay can give you peace of mind, comfort, and a truly enjoyable experience, while a poor choice can lead to stress, extra expenses, and unnecessary inconvenience.

By carefully considering the key factors we discussed — budget, location, type of accommodation, room types and beds, amenities, safety and security, guest reviews and ratings, check-in & check-out timings, free cancellation policy, children/extra bed policy, accessibility, and payment options — you can make a much smarter decision.

Remember, the cheapest option is not always the best, and the most expensive one is not always necessary. The goal is to find a balance that matches your needs, preferences, and budget.

Take a little extra time to compare options, read recent reviews, and check the important policies before you book. This small effort can save you money, time, and stress, and help you enjoy a comfortable and memorable stay.

Happy travels, and may your next accommodation be the perfect one for your journey!
